Privacy Policy

This policy explains how Amirhossein Iravanimanesh, an individual based in Edmonton, Alberta, Canada ("we", "us") handles personal information in Wayhire. We collect what we need to run your job-search workspace, and we do not sell your personal information or use it for advertising.

What we collect

• Account details: name, email address and a hashed password.
• Your content: resumes you import, the profile and experience you confirm, saved job postings, notes, generated documents and prepared application answers.
• Billing: plan and subscription status. Card details are collected and stored by Stripe, never by us.
• Usage: product events such as signing up, saving a job, generating a document or starting checkout, plus technical logs (IP address, browser) kept for security. These events do not contain your resume text.

How we use it

• to provide the Service: store your workspace, write and render documents, find and rank jobs, and fill forms when you ask;
• to send account emails such as verification, password reset, reminders and your daily summary if you enable it;
• to process payments and prevent abuse;
• to understand which features help people and improve them, using aggregated product events.

AI processing

When you import a resume, its text is sent to our AI provider to extract your experience for you to review. When you generate or edit a document, analyze fit or draft answers, the relevant confirmed experience and job posting are sent to our AI provider. We use paid API services whose terms do not allow the provider to train models on your content. Sensitive details you store for forms, such as date of birth, demographics, visa or disability information, are excluded from AI requests.

Service providers

We share information only with providers that help us run the Service:

• Google (Gemini API) — AI drafting, extraction and analysis
• Stripe — Payments and subscription billing
• Resend — Transactional email delivery
• Cloudflare (R2) — Encrypted document file storage
• Heroku (Salesforce) — Application servers and database

We may also disclose information if required by law or to protect the rights and safety of our users.

Retention and deletion

We keep your data while your account is open. You can export it as JSON at any time from Settings. When you delete your account, your profile, jobs, documents and files are deleted immediately and any subscription is cancelled; copies in encrypted backups expire within 30 days. Anonymous, aggregated product statistics may be kept. Stripe retains billing records as required by tax and financial law.

Apply Assistant (Chrome extension)

The extension talks only to your own Wayhire workspace. When you open it, it sends the address of the current page to your workspace to match it to a saved job. When you click Fill, it reads the labels, types and options of the form fields on that page (and its embedded application frames), sends them to your workspace, and fills in the answers it receives from your confirmed profile. Your connection token, workspace address and settings are stored only in the extension on your device. It asks for access to a site only when you use it there, and does not read your browsing history or pages you do not use it on.

If you turn on auto-apply (Autopilot plan), the extension opens the Greenhouse, Lever and Ashby applications Autopilot prepared in background tabs while Chrome is open, fills them the same way, and submits them; your first three submissions wait for your approval. Turn it off in the extension or in your workspace at any time.

Cookies

We use one essential cookie to keep you signed in, and a first-party cookie that remembers for 30 days how you found us (for example, the referring website) so we can tell which channels help people. Your browser also stores your light or dark theme preference. We do not use third-party advertising or tracking cookies.

Your rights

Depending on where you live, you may have rights to access, correct, export, delete or restrict the use of your personal information, and to complain to a data protection authority. Most of these are available directly in the app; for anything else, contact support@wayhire.me. We respond within 30 days.

Security

Data is encrypted in transit, passwords are hashed, document files are private to your account, and browser-extension access uses revocable, expiring tokens. No system is perfectly secure; we will notify you of a breach affecting your information as required by law.

Changes

We will post updates here and notify you of material changes by email or in the app.
